I linked Google Drive to Gemini Notebook to create a self-updating knowledge base

by · Android Police

My Google Drive is full of useful information, from documents and notes to files I save for future reference. The problem is that finding something specific often means navigating through folders, searching for keywords, and trying to remember where I put it.

Add Android Police on Google Add as Preferred Source

I wanted a way to ask questions about my documents without opening files one by one or building a separate database.

That's where Gemini Notebook comes in. By adding Google Drive files as sources, I can turn a collection of documents into a searchable knowledge base that answers questions using my existing material.

Connecting Google Drive to Gemini Notebook

Using my Drive files to build a knowledge base

My work research is scattered across pitches, research notes, reference materials, and writing guides.

I also have related documents saved in Google Drive, so finding everything I need for a particular story can mean switching between files and trying to remember where I saved a useful detail.

I wanted to bring these resources together without creating another collection of documents to maintain.

To get started, open Gemini Notebook, click the filter icon in the chat window, and make sure Google Drive is toggled on. It's turned on by default, but it's worth checking to make sure it's available as a source.

I choose what goes into my knowledge base

Gathering my reference materials

My Google Drive contains plenty of documents, but not all of them are relevant to my work. I wanted to focus on material that could help me develop story ideas and revisit previous research.

I started with my existing pitches, research notes, reference materials, writing guides, and relevant Google Drive documents.

The same approach can work for other parts of your life. If you're a student, build a knowledge base from lecture notes, study guides, research papers, and course materials, then use Gemini Notebook to review concepts or connect information across sources.

If you enjoy traveling, collect destination research, itineraries, accommodation details, and notes about places you want to visit.

You could even create a home maintenance knowledge base with appliance manuals, warranty documents, repair records, and maintenance logs, making it easier to find instructions or revisit past repairs when something needs attention.

Turning Google Drive into a searchable library

Make it easier to navigate

If I'm unsure which files to add to Gemini Notebook, I use the Search the web for new sources window in the left sidebar and select Drive instead of Web.

I describe what I'm looking for, such as documents related to a particular story idea or research I've collected on a specific topic.

You can also keep the collection organized using the label icon below the search window. Gemini Notebook can automatically label sources by topic, and you can create new labels, rename existing ones, or move sources between categories.

There's another way to find relevant documents without leaving the chat window. I can ask Gemini Notebook to search my Drive for a topic.

Together, these options make the knowledge base easier to expand as my research grows.

I get a better overview with mind maps and data tables

Visualizing my research

Finding information across my research documents is useful, but sometimes I need more than a quick answer. I want to see how ideas connect or organize information in a way that's easier to compare.

Gemini Notebook can turn my sources into different formats, including mind maps and data tables.

Mind maps are useful when I'm exploring a new feature idea or trying to make sense of research spread across several documents. I can generate one from my sources to see the main topics and related ideas in a branching diagram.

I expand or collapse branches to focus on specific details, and select nodes to ask follow-up questions in the chat.

I also use data tables to structure information from my sources. For example, I ask Gemini Notebook to organize my research ideas by topic, summarize the key points from different reference documents, or create a comparison table.

Instead of manually pulling details from individual files into a spreadsheet, I can ask it to extract the relevant information.

I keep my knowledge base up to date with Drive sync

My research stays current

Google Drive supports automatic syncing for files added as sources to Gemini Notebook. When I update an existing Google Docs, Sheets, or Slides file in Drive, those sync to the notebook automatically, so I don't have to re-upload the document.

That means I can keep working on my original files in Drive while using Gemini Notebook to ask questions about the information they contain.

If you don't want to wait for automatic syncing, you can update a source manually. Open the Google Drive source in Gemini Notebook and select Click to sync with Google Drive.

My research is finally easier to use

Connecting Google Drive to Gemini Notebook helped me search for relevant documents, organize sources by topic, and ask questions about my material without tracking down every detail myself.

The biggest advantage is that this knowledge base grows alongside my work.

When I find new research or update a supported Google Drive document, I add relevant material or let the existing source sync, keeping my notebook useful without maintaining a separate copy of everything.
